Role Overview
We are looking for a detail-oriented and organised Logistics Administrative Assistant who will play a
vital role in the efficient operation of our logistics department, primary responsibilities will
predominately be processing logistics invoices, along with supporting various administrative tasks
essential to logistics operations.
Experience supporting clients or stakeholders in the Australian or US markets is preferred.

Duties and Responsibilities:
Process all logistics invoices: Processing and coding invoices accurately and efficiently, ensuring
timely processing in line with the company guidelines.
Spread sheet entry and maintenance.
Assist is preparing monthly reports – Accrual report.
POD retrievals on request – accessing a number of platforms to retrieve PODs from carriers to
assist with stakeholders inquiries.
Logistics Support: Assist in coordinating and facilitating logistics operations, including inventory
management, transportation coordination.
Administrative Duties: Handle general administrative tasks such as data entry, filing, maintaining
records, and assisting with documentation related to logistics operations.
Communication and Coordination: Collaborate closely with internal teams, including warehouse
staff, procurement, and finance departments, to ensure seamless logistics processes.
Problem Solving: Identify and resolve logistical issues promptly, escalating complex problems to
the appropriate authorities when necessary.
Compliance and Quality Assurance: Uphold compliance standards and quality assurance
protocols, ensuring adherence to company policies and procedures.
Qualifications:
At least 2–3 years of experience in logistics, warehouse admin, or supply chain support roles
Background in FMCG, food manufacturing, or high-volume product environments highly
preferred
Exposure to AU or US logistics processes and invoicing is a strong advantage
Advanced proficiency in Microsoft Excel is a must (pivot tables, formulas, data tracking)
Familiarity with MS Office and logistics/ERP platforms
Excellent attention to detail, time management, and organisation
Strong written and verbal communication skills to coordinate across departments
Basic understanding of ISO, HACCP, and internal safety standards
Ability to work both independently and collaboratively in a team-based environment
Bachelor's degree in Food Technology or any related course.
