Overview
We are currently seeking a highly organised and detail-oriented Advice Support Specialist to support advisers across the full client advice journey. This hybrid role combines paraplanning, Records of Advice (ROA) preparation, strategy support, implementation, and day-to-day administration.

The successful candidate will play an integral role in ensuring advice documents are prepared accurately and compliantly, client service tasks are completed efficiently, and adviser workflows run smoothly from onboarding through to implementation and ongoing review. The role is suited to someone with experience in Australian financial planning who is confident supporting advisers with both technical paraplanning tasks and client service administration. This structure reflects the client-service workflow focus on the Client Services Administrator example and the research, analysis, SOA, and compliance support in the Paraplanner example.

Responsibilities
Assist advisers in preparing and reviewing compliant advice documents, including SOAs, ROAs, file notes, strategy papers, and implementation documents.
Conduct financial research and analysis across superannuation, pensions, investments, insurance, and cashflow strategies.
Gather and organise client information including assets, liabilities, income, expenses, structures, and existing products.
Assist with modelling, research, and strategy comparisons to support adviser recommendations.
Prepare product and strategy research using approved research tools and provider information.
Support advisers with review preparation, including provider reports, fund comparisons, valuations, and strategy updates.
Prepare SOAs and ROAs for existing clients in line with adviser instructions and licensee requirements.
Ensure advice documents and client records are accurate, complete, and compliant with internal processes and regulatory obligations.
Manage client onboarding tasks, including appointment emails, document requests, account setup, and follow-up on outstanding information.
Prepare and send service agreements, fixed-term agreements, fee forms, direct debit forms, and third-party authorities.
Coordinate implementation paperwork and track progress with product providers and clients.
Schedule meetings, send review invitations, manage adviser calendars, and follow up on bookings.
Maintain accurate client records in Xplan and ensure all correspondence and documents are filed correctly. Support workflow management across advice preparation, implementation, and ongoing review cycles.
Liaise with clients, providers, and internal stakeholders regarding administrative and implementation matters. Contribute to process improvements, template updates, and general business support as required.

Requirements
Minimum 2–4 years’ experience in Australian financial planning in a paraplanning, client services, or hybrid support role.
Demonstrated experience preparing or assisting with SOA’s and/or ROAs.
Strong understanding of Australian financial planning processes, including onboarding, implementation, reviews, and compliance documentation.
Experience using Xplan.
Strong written communication skills with the ability to produce accurate and professional client documents. Excellent organisational skills and high attention to detail.
Ability to manage competing priorities and work autonomously.
Professional, trustworthy, and discreet when handling confidential client information.
